How we collect & use your information

We need to keep certain information about our past, current and potential customers and other users of our facilities to allow us to function effectively, monitor performance and achievements. We also need to process information so  that we can manage our customer base and maintenance of our equipment and comply with legal obligations to government regulations, insurance companies and Company legislation such as health and safety and equal opportunities.

What type of information is collected from you?

The personal information we collect is usually limited to name, address, and email address, contact telephone number. This may also include keyholders for our client’s fire & security systems. In addition to the information you provide us directly, we may collect personal information from Other sources such as credit reference agencies, or images from your CCTV system where we monitor the system for security purposes. These images are only recorded when the system generates an alarm to us or when we manually connect to the system. The images are stored securely and encrypted for a maximum of three months unless we are requested to retain them for evidential purposes for legal cases recordings are only accessible to limited members of staff with the correct security clearance.

We do not store information such as Credit Card or Alarm Security Codes for any of your systems installed. Site passwords are retained for security verification purposes. This information is either (a) provided by you, (b) created by us in the course of work-related activities whilst we undertake work on your behalf, or (c) obtained from third parties Third Party Service Providers working on our behalf: We may pass information to our third-party service providers, agent’s subcontractors and other associated organisations for the purposes of completing tasks and providing services on our behalf. However, when we use third party service providers, we disclose only the personal information that is necessary to deliver the service. Please be reassured that we will never release any information to third parties beyond the emergency services or approved sub-contractors for them to use for their own direct marketing purposes in any circumstance unless we are required to do so by law. If you fail to provide certain information when requested, we may not be able to perform the contract we have entered into with you or we may be prevented from complying with our legal obligations (such as to ensure the health and safety of our workers). It is important that the personal information we hold about you is accurate and current. Please keep us informed if your personal information changes during your working relationship with us. We will only use your personal information for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If we need to use your personal information for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so. Rosse as follows:
We may share some of your personal information to our Inspectorates, NSI (https://www.nsi.org.uk), SSAIB (https://ssaib.org), BAFE (https://www.bafe.org.uk), FIA (https://www.fia.uk.com) such as your name, address, details of the type of system installed etc. for certification and audit purposes. We may also share your personal information with Police forces and Fire & Rescue services where these are offered as points of contact for your installed systems.

We may also share your personal information to the Police, where required to do so as part of any legal investigation or proceedings. We may be required to share your personal information with Insurance companies where required
to as part of any insurance claim you may make.

Retention of the information

We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting or reporting requirements. In general terms this means that We will keep your personal information securely for as long as we need to, to enable us to provide you with our products and services as part of your contract with us. Your personal information will be stored in the following locations:
o on our internal systems;
o on paper files.
In all cases your personal data will only be accessed by those who require access in connection with their role and at all times only for the purposes as set out in this Privacy Notice. We won’t always need consent to use personal information – for example if we need it to meet regulatory requirements or to perform a contract with you. Where you have given us consent, you have the right to withdraw it at any time.
